Please read African Volunteer Aid’s Terms and Conditions carefully before submitting your online booking form. By clicking on the box beside the words ‘I have read and agree to the African Volunteer Aid (AVA) terms and conditions” on the online booking application form, you agree to the following terms and conditions.

Volunteering With Children

All African Volunteer Aid volunteers are to have a valid working with children and criminal history check. All volunteers must read and abide by our Child Protection Policy and our Children’s Code Of Conduct.


It is strongly against Ugandan culture for a non married male and female to share a room. For this reason we will only place married couples together in a room. AVA understand this can be upsetting for friends traveling together however we work hard to maintain a positive relationship with our partnering countries and and we have to abide by the laws of the country.


The volunteer is solely responsible for arranging and paying for their own travel, specifically including all airfares or other transport costs to and from the host country as well as any local transport costs. It is the responsibility of the volunteer to carry all necessary documents when travelling abroad. While AVA may advise the volunteer on required travel documentation, AVA are not responsible for any supporting documents necessary for the volunteer’s travel needs or other purposes.


If travelling solo the volunteer must be 18 years or over to volunteer with AVA. If a person is younger than this age the volunteer may enter a placement with a family member or guardian. We welcome families to participate together on our volunteer placements.


AVA does not provide the volunteer with insurance of any kind. While travel insurance is not mandatory to volunteer with AVA , it is highly recommended. The volunteer is solely responsible for evaluating and determining the type, extent and levels of any insurance coverage they need or desire for their planned volunteer travel period.

Refund Policy

Compared to similar companies that provide comparable comprehensive volunteer service opportunities, AVA operates on a much smaller profit margin and is therefore unable to provide and does not provide a refund policy for the registration fee. We will provide a full refund (minus any bank related fees) for the program fee providing 60 days notice is given prior to your program start date.

AVA reserves the right to revise the program fee at any time. All program fee revisions will be made via the AVA website with seven days advanced notice given before they take effect. Program fee revisions are not applicable to volunteers who have already submitted their online booking before the revisions are due to take affect. A volunteer’s placement on a program cannot be confirmed until registration fee and program fee has been paid in full.


Details of the registration fees and program fees are set out on our website and are payable through our website. Program fees paid via bank or wire transfer will need to have transaction costs covered by the volunteer as well as confirming the confirmation receipt to AVA.

Volunteer’s placements reservations will only be made upon receipt of the full program fee payments. The program fees are not transferable to other persons.

Change of Dates and Duration

Once registered and confirmed before you begin your trip with AVA, all volunteers are entitled to change their start date at no additional cost if a minimum 60 days notice is given from the start date. If change to start date or duration is needed to change a second time you will be required to pay an administration fee of $50USD for each change made.


A cancellation of program may happen once registered and confirmed as a volunteer. You will be entitled to a full refund of program fee if outside 60 days of the start date of your application. Please note the registration fee is non refundable once you have been accepted into our program.

Personal Risks

The volunteer acknowledges and accepts the responsibilities and risks associated with their agreement to travel to, temporarily live in and provide volunteer services in a developing country.
Such travel and volunteer work can be often hazardous and involves a certain degree of risk, inherently dangerous activities and personal perils to the volunteer, both foreseen and unforeseen, all of which are fully accepted by and solely assumed by the volunteer.

Therefore, AVA including any and all of its employees, managers, directors, host families and host country partner organizations are not liable, to the maximum extent of the law, for any loss or harm the volunteer or associates may suffer.


The volunteer agrees to indemnify AVA against any and all liability which AVA incurs arising directly or indirectly out of, or in connection (in any way) with, the volunteer’s travel to, living in and providing services in the volunteer’s nominated country.

Drug and Alcohol Use

The volunteer must abide by the rules put in place by AVA or by its partner organizations / institution and host family in regards to alcohol consumption in the host country. Drug use (unless prescribed by a doctor) is strictly prohibited and will result in instant dismissal from the program with no refund.


The volunteer agrees to comply with the AVA’s code of conduct. AVA reserves the right to use feedback and images provided by volunteers for website materials such as testimonials.

AVA provides a service connecting volunteers to partner organizations / institutions and host families. You agree that AVA is not liable for any actions or omissions of any partner organization or institution or host family.
To the full extent permissible at law, all representations, terms, warranties, guarantees, or conditions whether implied by statute, common law or custom of the trade or otherwise, including, but not limited to, implied warranties and guarantees, are excluded.

Notwithstanding anything else contained in any agreement, the liability of AVA to the volunteer shall not in aggregate exceed the amount of the program fee paid by the volunteer.

This website is presented solely for the purpose of promoting AVA services. This site is controlled and operated by AVA from its offices in Australia. AVA makes no representation that materials in the site are appropriate or available for use in other locations. Those who choose to access this site from other locations do so on their own initiative and are responsible to the extent local law is applicable. AVA does not warrant or make any representations regarding the correctness, accuracy, reliability, or otherwise of the materials in this site or the result of their use.

AVA and its partner organizations reserve the right to remove the volunteer from the program if misconduct by the volunteer has occurred.

Force Majeure

AVA has no liability for any lack of performance, unavailability or failure of the services or its website, or for any failure of AVA to comply with these terms and conditions, where the same arises from any cause reasonably beyond the control of AVA.
